Dear Ms.
Smith:
Fill in here what has prompted you to write this letter.
Follow that with a positive suggestion or two of what this person could do
better in order to please you.
Never get rude or abusive. Try your best to explain your position in a
polite and positive manner. It doesn't hurt to let someone else read your
letter and see if it's coming across the way you want it to, or are they
reading a negative or rude tone into it that you didn't intend. If you are
especially upset about the thing that has prompted you to write the letter,
it's better to wait a few days until you cool off. But don't wait too long or
your passion will grow cold and you won't write the letter at all.
It can be very helpful to let your letter sit for a day or two and then
re-read it. You will see typos you missed before. You may also find you
didn't express what you wanted to say the way you wanted to. Try again until
you're satisfied with your letter.
Always remember to thank the person for his or her time and attention.
Sincerely,
Dianne E.
